MJFreeway Tracker is a legacy version of MJFreeway’s software offerings. As it turns out, they no longer onboard clients onto Tracker and do not provide integration credentials for new integrations with Tracker. They do support the Tracker API for existing clients and integrators using Tracker, but all clients are onboarded onto MJFreeway Platform.

Functionality

Information is shared between MJFreeway and Blackbird in two ways: Blackbird either requests information from MJFreeway and syncs it in Blackbird, or Blackbird pushes new information into MJFreeway. Blackbird syncs customer, product and order information from MJFreeway, and has the ability to push online order information into MJFreeway. You will have the ability to determine what functionality is useful for your business application, and only enable relevant sync or push functionality. Below, each of the syncs and information pushes are described in more detail.

Customer Sync

The customer sync requests customer information from MJFreeway and stores it in Blackbird for use with a Blackbird loyalty program. In order to assign points to customers in Blackbird based on their orders in MJFreeway, we have to know who the customers are in MJFreeway. By syncing this info, we can ensure Blackbird and MJFreeway are sharing customer information to allow accurate assigning of points per dollar spent.

The following fields are pulled from the customer profile in MJFreeway:

  • First Name
  • Last Name
  • Email
  • Phone Number
  • Customer ID (Internal Use)
  • Notes

Customer syncs are set to run every 3 hours. On the first sync, all customers are pulled in to Blackbird and on the subsequent syncs Blackbird pulls in any new customers and updated customer information every 3 hours.

Customer Information Requirements in MJFreeway

MJFreeway helps users prevent creating duplicate customer accounts by making certain fields on the customer profile unique. MJFreeway designates that the government ID number should be unique per customer record, the thinking being that no two customers would have the same ID number. This means that if an ID number is being used in a customer profile, that number cannot be used when creating a new customer profile. When users create a new customer profile with an ID number that is already is use they will be prompted to change the ID number or use the customer account that already exists with that number.

Please Note on Customer Phone Numbers

Customer profiles can have many phone numbers. Users have the option to designate which phone number is the customer’s default number. For the purposes of the integration, the customer sync pulls the default number on the customer profile.

Customer Push

This functionality pushes a list of all customers from our platform. Customer Push automatically generates all customer profiles attached to online orders in your POS. Blackbird pushes customer data to POS.

Impacted Feature - Online Ordering

Benefits of Use - Allows for online orders to be sent to POS with associated customer details (with Order Push). Updates POS with customers from online orders that are not yet in the POS.

Order Sync

The order sync requests order information from MJFreeway and stores it in Blackbird for use with the loyalty program. The order information is used to assign points to customers per dollar spent in the order. Orders are pulled for all statuses, but only completed orders are used to award loyalty points.

The following fields are pulled from orders in MJFreeway:

  • Customer ID
  • Order Total
  • Total Taxes

Order syncs are set to run every 3 hours. On the first sync, all orders are pulled in to Blackbird and on the subsequent syncs Blackbird pulls in any new orders from the previous 3 hours.

Order Push

This functionality sends online order information to MJFreeway automatically when a customer places an order on a Blackbird menu. This will be helpful to those using an online menu and for those that do not want to manually recreate orders into MJFreeway. Order information is pushed to MJFreeway in real time - as soon as an order is submitted on the menu, the info will be sent to MJFreeway automatically.

A customer record will be created along with the order, if the customer does not exist in MJFreeway already.

To determine if the customer exists in MJFreeway, the integration checks for one of the following things:

  1. Government ID Number and Customer Last Name - attempts will be made to identify a customer with the last name and ID number associated with the Blackbird order
  2. If no customer is found with the criteria above, a check will be done to see if a customer record matches on phone number or email based on the customer sync data.

If there are no customers with a phone number or email in MJFreeway that match the customer information from the order, a new customer record will be created in MJFreeway. The new customer profile will include the information from the customer’s BlackbirdGo profile.

Pre-Order Functionality in MJFreeway

MJFreeway client accounts have a separate section for incoming online orders that is distinct from the in-store ordering section. In this way, you are informed about new online orders that need to be fulfilled and can monitor which orders are still open all within their MJFreeway account.

Product Sync

Syncing in products from MJFreeway will be beneficial to those using an online menu through Blackbird. This functionality will allow inventory information already stored and maintained in MJFreeway to be utilized on the menu. This removes the need for manual entry and upkeep of product information in two systems. Any changes made to inventory information like price or product attributes will be updated in Blackbird automatically. Additionally, stock quantity is tracked through the integration, so inventory items cannot be oversold and do not require manual removal from the menu when they run out.

The following inventory information is pulled from MJFreeway:

  • Location of the Inventory
  • Product Name
  • Product ID
  • Brand
  • Category
  • Price (updated in real time)
  • Quantity (updated in real time)
  • THC %
  • CBD %

Please Note on Test Results

Blackbird pulls test results for inventory when available. However, the MJF API only returns the test results for the first batch of the product. This means that if a subsequent batch is added to the inventory that has its own test results, the API does not return this for the inventory. In this way the test results that are returned by MJF are often incorrect.

Understanding What Inventory is Available to Sync

MJFreeway has several configurations that allow you to decide how and when inventory will be sold. In this way, you can determine which inventory is available for sale versus what is in back stock, what inventory can be sold online, and what inventory is reserved for sale at another time. As a result there are several factors that determine whether or not an item is eligible for sync.

Available Online - The product must be listed as available online in order for any product inventory to pull through the integration. You can set a product to available online by accessing your Catalog and navigating to the product in question.

In-stock - Inventory must be in-stock and have an available quantity above 0 to be eligible for the online menu.

Product Pricing in MJFreeway

Products can be designated to one of two pricing types: simple or weight. Simple pricing means each item will have set price. MJF often refers to this as unit pricing. Weight pricing means that the price is determined based on the weight of the item. This allows you to assign pricing schemes to products based on predefined weights. In practice, this is tiered or bulk pricing. For example, if the inventory had a weight of one gram, the predefined one gram price would be assigned to the product. Typically this is only used for flower products.

This is a long string of letters and numbers that is specific to each MJFreeway account.

You will have one API key for all stores or locations under their account.

The API key is deposited into Blackbird’s partner account at your request.

Blackbird will verify the key and provide it to the you.

MJF account representative will provide this to you upon request.

Short number specific to the store or location. You may have multiple Client IDs if there are multiple locations.

Please Note on the Partner Account

Blackbird has a partner account with MJFreeway that was initially set up under Baker. Typically when requesting an API key from MJF clients will need to provide the email address of the partner account so they can send the API Key to the correct account. The email used for the partner account is integrations+mjfw@trybaker.com.

The Partner account can be accessed at partners.mjfreeway.com using the email listed above. To obtain the password please ask the Director of Client Services or the Director of Data Management.
