Why Integrate Blackbird with Flowhub?

If you use Flowhub as your point-of sale software in the dispensary, and Blackbird for CRM tools or an online menu, you may benefit from setting up an integration between the two software platforms.

An integration allows for sharing of relevant data between the two platforms which can save time and money by eliminating double entry of data and reducing the need to manage info manually. Creating an integration for use with CRM and online menu features increases efficiencies and automates processes that would have to be handled manually.

Loyalty Program

You can use an integration with Flowhub to facilitate points per dollar loyalty. By pulling order information into Blackbird from Flowhub, points can be automatically awarded to customers based on the value of their order. This removes the need to manually add points to customer profiles for orders completed in the point of sale and incentivizes customers to spend more money.

Online Menu


Those using an online menu through Blackbird can find value in using the integration with Flowhub to pull inventory into Blackbird for sale online. This removes the need to duplicate the inventory in Blackbird manually and try to keep the two systems in sync with each other. It allows inventory information online to match Flowhub at all times.

Functionality

Information is shared between Flowhub and Blackbird in one direction: Blackbird requests information from Flowhub and syncs and syncs it in Blackbird. Blackbird syncs customer, product and order information from Flowhub. You will have the ability to determine what functionality is useful for their business application, and only enable relevant sync functionality. Below, each of the syncs are described in more detail.

Customer Sync

The customer sync requests customer information from Flowhub and stores it in Blackbird for use with a Blackbird loyalty program. In order to assign points to customers in Blackbird based on their orders in Flowhub, we have to know who the customers are in Flowhub. By syncing this info, we can ensure Blackbird and Flowhub are sharing customer information to allow accurate assigning of points per dollar spent.

The following fields are pulled from the customer profile in Flowhub:

  • First Name
  • Last Name
  • Phone Number
  • Email Address
  • Customer Location (if applicable)
  • Customer ID (for internal use only)

Customer syncs are set to run every 3 hours. On the first sync, all customers are pulled in to Blackbird and on the subsequent syncs Blackbird pulls in any new customers and updated customer information every 3 hours.

Order Sync

The order sync requests order information from Flowhub and stores it in Blackbird for use with the loyalty program. The order information is used to assign points to customers per dollar spent in the order. Orders are pulled for all statuses, but only completed orders are used to award loyalty points.

The following fields are pulled from orders in Flowhub:

  • Customer ID
  • Customer Name
  • Order Completed Date
  • Order Status
  • Order Total
  • Subtotal
  • Total Discount
  • Total Taxes

Order syncs are set to run every 3 hours. On the first sync, all orders are pulled in to Blackbird and on the subsequent syncs Blackbird pulls in any new orders from the previous 3 hours.

Product Sync

Syncing in products from Flowhub will be beneficial to those using an online menu through Blackbird. This functionality will allow inventory information already stored and maintained in Flowhub to be utilized on the menu. This removes the need for manual entry of products in two systems. Any changes made to inventory information like price or product attributes will be updated in Blackbird automatically. Additionally, stock quantity is tracked through the integration, so inventory items cannot be oversold and do not require manual removal from the menu when they run out.

The following fields from inventory are pulled into Blackbird:

  • Product ID (internal use)
  • Location ID
  • Product Name
  • Product Description
  • Sku
  • Category
  • Brand
  • Unit of Measure
  • Cannabinoid Information
  • Product Weight
  • Price of Price Profile
  • Quantity

The product sync runs every 5 minutes. On the initial sync, all products are pulled in. On subsequent syncs only new products and updated products are synced (including price and quantity updates).

Inventory Rooms in Flowhub

Inventory in Flowhub is designated to Rooms. You can find your inventory rooms by navigating to Location Management (not Company Management) settings and select Manage: Rooms.

There are two types of Rooms, those with inventory that is For Sale and rooms with inventory that is Not for Sale. Blackbird’s integration only pulls inventory in that is in rooms designated For Sale.

The Inventory Rooms configuration page in Flowhub is shown in the image above. This page can help you easily know if a room is designated for sale or not, and this may be useful in helping them understand what inventory will pull through the product sync.

Bulk vs. Prepackaged Inventory in Flowhub

Flowhub allows you to sell flower in bulk, or in prepackaged weight variations. Blackbird’s product sync is built to allow either method. When creating new inventory in Flowhub, ou will be able to select if the flower product is prepackaged or bulk. This is what Blackbird will use to know if Flower is bulk or prepackaged.

Prepackaged Inventory - Prepackaged flower is pulled from Flowhub in the same way other inventory in other product categories is. The weight of the flower is pulled from weight unit and the price of the prepackaged unit is pulled from cost/unit. The quantity field is pulled into Blackbird and represents the number of prepackaged units of the inventory. These fields are specified when the inventory is created, as shown in the image below.

Bulk Inventory - Bulk flower is treated a little differently than other prepacked units of inventory because the inventory item is the total weight of all the flower. In this way, the inventory does not have a single price per unit, because the price varies based on the quantity purchased. As a result, the pricing structure has to be pulled from outside of the actual inventory and associated back to it. Flowhub staff will assign a Price Profile to bulk inventory that provides information as to the weight variations that are allowed to be purchased and the price for each. Blackbird will use the information in the price profile to create appropriate weight variations to be sold online, and assign the corresponding price to each.

Additionally, the stock amount for the inventory must be treated a little differently. The quantity on bulk inventory will not indicate total units, as it does with other types of prepackaged inventory. As a result, Blackbird will use the weight variations specified in the Price Profile and determine how many untis that would be based on the total weight of the bulk inventory. For example, if there are 350 total grams in the bulk flower, the eighth variation in Blackbird would have a quantity of 100 (350 total / 3.5g). In this way, bulk inventory cannot be oversold on a menu.
